Project Assistant for the “Project and Planning” department

In Projects & Planning we are amongst others having the responsibility to secure successful execution and implementation of our Investment and Project Portfolio. The function is anchored as part of Group Technology supporting Operating organizations in the implementation of projects and upgrades. Our approach is structured and driven by Project excellence in combination with technology development and market requirements. We are to understand and find solutions for driving of our important investment projects to obtain desired outcome and value.

This is the role

You will give Project assistance to primarily the Directors and Managers of our “Project and Planning” department, but also other departments could need your assistance.

Your main responsibility and tasks are:

  • Document and procedure handling according to ROCKWOOL guidelines and policies
  • Travel planning, including visa applications
  • Travel expenses, travel booking, travel documentation and procedures
  • Approvals of invoices
  • Assist in securing updated job descriptions
  • Calendar Management
  • Planning of courses
  • Superuser for selected websites and programmes 
  • To maintain customer focus in all areas at all time

This is what you offer

  • Minimum 5-10 years’ experience as personal assistant, project assistant or secretary.
  • ability to work in a high paced environment
  • Structured approach and good at following-up on deadlines
  • Experience with taking and managing minutes and scheduling of meetings/ managing several calendars
  • Good skills in word, excel, power point, SharePoint and preferable knowledge to SAP
  • Fluency in English (written and spoken). Additional language would be an added advantage
  • Experience in developing and delivering training material to users
  • A team player, strong communication and interpersonal skills
  • Positive energy and good pro-active attitude
