Your future team: 

As a part of the Office Management team you will support the organization on many different levels, you and your colleagues will play an important role in ensuring efficient operations. From giving support to customers and employees throughout our facilities to being part of contributing to the agenda for our senior managers, you make sure our business runs smoothly.

What you will be doing:

  • Manage the reception team through task delegation, supervision, and ensure high-quality guest service while maintaining professional office standards.
  • Provide functional team leadership including operational meetings, workload distribution, escalation handling, and stakeholder management.
  • Design and implement office policies, establish standards and procedures, measure performance, and drive continuous improvements.
  • Ensure efficient office operations by organizing processes, managing equipment maintenance, and maintaining office supplies and equipment inventory.
  • Develop and maintain archiving systems, manage document flow and storage, process invoices, and support HR administrative activities.
  • Supervise the office budget, cooperate with suppliers, and negotiate contracts and costs.
  • Coordinate business travel for employees and guests, manage meeting schedules, and organize internal and external meetings.
  • Plan and execute internal and external events from concept to completion, including venue and catering selection, vendor management, and event supervision.
  • Support company initiatives such as CSR and employer branding, manage internal communications, and collaborate with management on strategic objectives.
  • Provide support to the Office Manager, GBS management, and management team, including project coordination and contractor oversight.

What you bring:

  • University degree,
  • Similar work experience in an administrative function,
  • Experience in planning and executing events,
  • Communication and interpersonal skills,
  • Customer oriented approach,
  • Pro-active and problem-solving attitude,
  • Detailed oriented mindset,
  • Very good command of Polish and English,
  • Readiness to work 5 days a week from the office.
